How to do a Media Stock Take

 
Stock taking is a library management process that provides information on the state of the catalogued collections in a library.
Stock taking enables you to:
 
§     Identify what’s been added to or withdrawn from the media, including donations and digital resources if a catalogue record has been created for them.
§     Find out what items have been lost, so you can find or replace them as needed.
§     Confirm that each item in your catalogue exists and is where it belongs.
§     Ensure that items flagged as overdue are not on the shelves.
§     Identify and fix catalogue anomalies.
 
 
Steps:
 
a)     Navigate to:
Home > LTSM > Stock Take
b)     Select the Add button to start a new stock take.
 
 
c)     Select the Edit button to continue with an existing stock take.
 
d)     With a new stock the media list will be empty.
e)     Load the Media Items by clicking on one of the Selections Items.
 
f)     Media Items will be loaded according to the selection.
 
 
 
g)     Select the Save button to save the selection to the database.
(Please remember to Save Regularly)
 
h)     The scanning process can now be started.
 
i)     Media Items will be flagged as Scanned.
 
 
j)     Media statuses can be updated row by row OR via the Batch Update.
 
 
 
k)     Detail Row can be used to get more information regarding the usage of a Media item.
 
 
l)     Use the Stock Take Items grid and features to create a Variance Report.
(Remember to create a view and save the view)
 
 
 
 
 
m)     Once the Scan Process is completed and all statuses are updated, the Stock take can be processed.
n)     Select the Save button.
o)     Select the Process button.
 
p)     All Media Items will be updated according to the status changes on the stock take.
